Three ways to close a share link
A share link stays live until you do something about it. There are three ways to change that, and they differ in what happens to the people you already sent it to.
| Action | What happens | Plan |
|---|---|---|
| Set an expiry | The link keeps working until a date you choose, then stops by itself | Pro or Team |
| Revoke link | Everyone with the link loses access immediately | Any plan |
| Generate new link | The old link stops working; you share the new one instead | Any plan |
Existing comments are untouched in all three cases. Closing a link changes who can reach the project, never what is on it.
All three work the same way for website and media projects, documents, and web apps.
Setting an expiry
- Open the project, document, or web app.
- Click Share.
- If you have not generated a share link yet, create one first.
- Open the expiry menu — it reads No expiry until you set one.
- Pick 24 hours, 7 days, or 30 days, or choose Custom and pick a date from the calendar.
The link works normally until the deadline passes, then stops serving the page. A guest who opens it afterwards sees a "not found" page rather than a partly working project.
By default a link has no expiry, which is how almost every link is set up. You only see an expiry anywhere if someone has deliberately set one.
The countdown
Once a link carries an expiry, a small countdown appears beside the comments panel — "6 hours left", "3 days left", and so on.
Both sides see it. For a guest it is their own deadline to get feedback in. For your team it is a reminder that the link you sent a client is about to stop working, before they email to say it broke.
Spotting an expired link from the dashboard
Project cards show a badge when a link needs attention:
- Expired — the link exists but its deadline has passed.
- Paused — the link works, but guests cannot add comments. See Pausing comments on shared links.
A link can be both. The card shows Expired, because that is the bigger fact — an expired link takes the whole page away, where pausing only closes the composer.
Revoking a link
Use Revoke link when you want access to stop now rather than on a date.
- Click Share, then open the ⋯ menu beside the link.
- Choose Revoke link and confirm.
Anyone holding that link loses access immediately. Existing comments stay untouched, and you can share the project again later — it just needs a new link.
Generating a new link
Use Generate new link when the link has gone somewhere you did not intend — forwarded outside the client's team, pasted into a public ticket — and you want to keep the project shared with the people who should have it.
- Click Share, then open the ⋯ menu beside the link.
- Choose Generate new link and confirm.
- Send the new link to the people who should still have access.
The old link stops working immediately. Existing comments stay untouched.
Plans
Setting an expiry is a Pro or Team feature. On the Free plan the preset durations and the calendar are unavailable and the menu shows why.
Removing an expiry is free on every plan. This is deliberate. If a workspace moves to the Free plan while a link carries a deadline, you can still clear that deadline so the link does not go dark on a date you can no longer change. On a web app the same rule keeps you from being locked out of your own comment widget.
Revoking and regenerating a link are never gated. You can always take a link down, on any plan.
